Administrative and Financial Services adjunct

JOB DESCRIPTION

POSITION SUMMARY
this job offer performs key support and administrative tasks for the Executive Vice President and CFO (EVP & CFO), other executives and the Finance Department. this function requires the capability to exercise sound and independent judgement with respect to matters of significance. this function requires a strong business acumen and professionalism. this function supports the Executive Vice President/ Chief Financial agent, the Executive Team, Finance Department and other Management.
ESSENTIAL RESPONSIBILITIES
   » Completes a broad variety of administrative tasks including: Managing deadlines on behalf of the EVP & CFO as well as other executives and the Finance Department, managing an active calendar of appointments, completing expense reports, coordinating the activities of the Finance Department, composing and preparing confidential correspondence, agendas, benefits administration and other administrative tasks as assigned.
   » Develops presentations, diagrams, or other materials as assigned by the EVP & CFO and/or the executive team.
   » Works with Finance Department Members and Residential Program Administration on benefits administration for OPWDD and OMH program participants.
   » supervises and collaborates with Residential Department on the utility accounts, especially for cable, WiFi, telephone, natural gas, oil, and electric. Manages the main accounts for each utility and ensures that new service as well as cancellations are completed on a timely basis.
   » Collaborates with Facilities Maintenance as well as Accounts Payable on large project bidding as well as day to day operations.
   » Secure all insurance certifications to include licapability, discapability and worker's compensation for vendors, contracts and as requested.
   » Inventory and order office and program supplies for the Finance Department.
   » Review rent reports to ensure correct amounts for following month's rent payments working closely with other Finance Department team members.
   » Assist in the preparation and implementation of the strategic plan.
   » Acts as a back up to the Executive adjunct & Foundation Manager.
   » Other tasks as assigned.

Qualifications

REQUIRED QUALIFICATIONS
suitable education
   » Associates Degree
practice:
Three years' practice as an Executive adjunct or four years of office management practice.
Two years financial office practice.
Licenses / Certifications:
   » N/A
PREFERRED QUALIFICATIONS
   » Five years' practice as an Executive adjunct preferred.
   » Managerial/managery practice highly preferred.
REQUIRED expertise
   » Must have a strong working expertise of Microsoft Office Suite
   » Must be able to manage multiple priorities
   » Professionalism and capability to handle confidential information with integrity
