Catering Sales Coordinator (Middletown, West Hills Country Club)

Job Overview:
The primary goal of the Catering Sales Coordinator position is to book events and drive revenue. To accomplish this task they will have in person meetings with prospective clients, guide tours of the facility, present package options, follow-up on sales calls, and close/contract events. The Catering Sales Coordinator will also assist in the execution of events as need dictates and time allows. The Catering Sale Coordinator will also be tasked with administrative responsibilities that will vary from week to week.
Essential Job Functions:
   » Conduct private and group sales tours, both in person and virtual from the work location
   » Book events, developing agreements and deposit requests, converting 50% of firsts to booked events
   » Work to achieve personal and team sales goals, consistently and proactively
   » Receive leads via phone, email, in person, and referrals, and follow the lead management protocols
   » Conduct menu visits, following the suggestive selling training guidelines
   » Schedule and conduct final visits; inventory and detail final arrangements for the operations team to follow. Update counts to the operations, kitchen and management teams after final counts have been distributed
   » Provide accurate and timely information to clients, vendors, management and planners
   » Maintain “the book” with up to date details for all events
   » Assist in the booking and execution of holiday events (ie. Mother’s Day, New Year’s Eve, Easter, Thanksgiving, Tastings)
   » Be an expert on all packages, as well as the details of each room and rule of the venue
   » Cross-sell other Bonura Hospitality locations
   » Follow the social media calendar, creating special marketing sales materials (ie. Blogs, live videos, postings, stories, etc.)
   » Ensure 100% customer satisfaction
   » Maintain professional business image, including catering hall cleanliness, proper uniforms, and appearance standards
   » Work to resolve any guest complaints with urgency
   » Foster a healthy working environment located on mutual respect, camaraderie, accountably and merit located compensates
   » Greet guests/direct them to the correct event/show them where they can wait comfortably
   » Schedule and confirm appointments in sales calendar
   » Enter new leads into lead manager/distribute those leads to the sales team/keep the sales inbox empty
   » Answer the phones and assist with the needs of the caller
   » Greet walk-ins, give packaging, schedule a formal tour, answer questions
   » Accept & enter payments into the book/email or print an updated invoice for client
   » Assemble wedding packages and promotional materials
   » Attend and participate in sales meetings
   » Ensure set up with menu and final packets for menu and final visits
   » Support the sales adjunct with consistent training of procedures and protocols
   » Complete daily, weekly, and monthly assigned office paperwork
In addition to the above, the day to day responsibilities of any Catering Sales Coordinator may be added to at any time by the owners, GM, or Sales Director as the operational needs of the business dictate.
Physical Requirements of the Catering Sale Coordinator Position:
   » Withstand temperatures of 0 degrees Fahrenheit or less and 100 degrees Fahrenheit or greater for periods of 30 minutes or more.
   » Move quickly all over a crowded restaurant for extended periods of time (up to 12 hours per day).
   » Move 50 lbs. distances of up to 100 ft.
   » Understand and respond to employee and guest verbal requests and visual cues in a loud and extremely busy environment.

Education General Requirements:
   » A high school diploma is required and a bachelor’s degree preferred but may not be necessary with the right level of practice.
   » Special consideration will be given to candidates with course concentration in hospitality, management and/or general business.
   » Must be 18 years of age or older.
