JOB DESCRIPTION

Independent Living, Inc., a progressive and dynamic cross-discapability services organization and a leader in the provision of peer services in the Hudson Valley region is seeking to hire a Receptionist/Office adjunct in Monticello. The Receptionist/Office adjunct will be responsible for various office tasks to include but not be limited to assisting the Program Manager, maintaining inventory, a professional working environment and the upkeep of the front office operations and processes. High school diploma or equivalent; some college preferred. Two years front office or administrative practice, preferred. Bi-lingual English/Spanish, preferred.

tasks AND RESPONSIBILITIES INCLUDES BUT ARE NOT LIMITED TO:
   » Maintains a high ethical and professional working environment in conformity with the Independent Living philosophy.
   » Maintains the upkeep of front office operations and processes.
   » Responsible for triage of consumers as needed.
   » Answers all incoming calls using proper phone etiquette and excellent communication expertise. Forwards all calls to the appropriate staff member with a polite and cheerful attitude.
   » Retrieves and forwards all general voicemail messages to the appropriate staff in an efficient and timely manner.
   » Warmly interacts with all consumers, staff and public as the initial contact. Greets all individuals entering the agency in a pleasant and professional manner.
   » Assists with public relations and marketing activities as needed.
   » Assists Program Manager to ensure coverage when a staff person is absent.
   » Sorts and distributes inbound and outbound mail in a timely manner. Also assists staff with outgoing mail support.
   » Maintains inventory of ALL supplies and orders as needed.
   » Facilitates operation of all office equipment including but not limited to computer technology, telephone system, fax machines, copiers, etc.
   » Maintains Office Management files, including program binders.
   » Monitors Employee Sign In and Sign Out logs and Visitor Sign-In sheets on a everyday basis.
   » Responsible for data entry process of consumer intakes, emergency supplies, and assists the Program Manager with monthly reports from the database.
   » Ensures compliance of van schedules, lists of approved drivers, keys, and vouchers for gas card purchases.
   » Schedules and maintains van and conference room reservations in Outlook as per employee requests.
   » Maintains contact listing in Outlook.
   » Assists in updating and maintaining agency databases.
   » Provides clerical support to Monticello site employees as needed.
   » The above list of responsibilities is not intended to be all inclusive, other responsibilities and/or training may be assigned or required.

SHIFT:
   » Monday through Friday 9:00am-5:00pm

Qualifications

Qualifications required
   » High school diploma or equivalent; some college preferred.
   » Two years front office or administrative practice, preferred.
   » Bi-lingual English/Spanish, preferred.
   » Honesty, respect for diversity, high personal standards, language, and behaviors reflecting such values and the Independent Living philosophy.
   » Must be dependable, resourceful, and possess problem-solving expertise.
   » Organized and meticulous with proven capability to handle multiple tasks in a fast-paced environment. Must be a team player with a positive can-do attitude.
   » Demonstrated capability to recognize the need for and facilitate connections between consumers and IL and other discapability related services.
   » Must maintain confidentially pertaining to all aspects of Center operations including, but not limited to, consumer confidentiality.
   » Excellent customer service expertise.
   » Strong computer expertise. Proficiency in MS Office (Outlook, Word, Excel and PowerPoint).
   » Excellent written and verbal communication expertise.
   » Excellent telephone and typing expertise.
